"Adventures by Disney and National Geographic Expeditions offer immersive, guided travel experiences for families, friends, individuals, and couples to explore the world’s greatest destinations. Adventures by Disney, spanning two decades, offers over 40 guided-group adventures, including land, river, and expedition cruises, with Disney-trained Adventure Guides ensuring hassle-free, immersive vacations. National Geographic Expeditions, with a 135-year legacy, provides global access through Signature Land, Expedition Cruise, River Cruise, or Private Jet options, supporting the National Geographic Society's exploration, research, and education efforts.”

The Trip Manager for Adventures by Disney & National Geographic Expedition Operations will be a part of the Private Jet team, playing a vital role in overseeing the operational aspects and ground logistics for luxury international travel programs. You will coordinate with local operators for bookings, logistics, special arrangements, and trip details. Effective communication with On-Trip Staff, Guests, Contact Center Team, and suppliers, both written and verbal, is essential, while also fostering relationships with On-Trip Staff and suppliers. This position upholds the company's quality standards, collaborating with various departments such as Operations, Trip Development, Legal, Sales, Marketing, and Finance within Adventures by Disney and National Geographic Expeditions.

The Trip Manager, Trip Operations-Private Jet will report to the Destination Manager, Trip Operations–Private Jet and sits in Celebration, FL.

Responsibilities:

  • Work closely with Destination and Trip Managers, local suppliers, and On-Trip Staff to ensure daily partnership and seamless trip operation, including coordination of bookings, logistics, and special arrangements.

  • Maintain relationships with global in-country operators, coordinating with them on trip details and logistics.

  • Communicate trip logistics clearly via email, teleconferencing, and phone, adhering to internal and program deadlines.

  • Conduct briefing calls with operators, ensuring implementation of on-the-ground logistics and accountability.

  • Assist with itinerary modification and tour itinerary change management for existing programs.

  • Support daily operations to enhance Guest, supplier, and Cast satisfaction, including managing supplier reports, ensuring quality control, and facilitating Guest counts, rooming lists, hotel upgrade requests, and special requests.

  • Prepare documentation for various purposes such as guest mailings, internal documents, tour manager materials, policies, and procedures while supporting the Contact Center Team in managing guest relationships from booking to post-trip communication, ensuring timely planning and procurement of extra arrangements upon guest request.

  • Read contracts and assist in document preparation, maintaining contract terms in internal database.

  • Create spreadsheets, word documents, and presentations to streamline business needs and facilitate payment processes and facilitate cross-functional communication.

  • Monitor Guest and On-Trip Staff feedback, developing action plans with Destination Manager.

  • Review invoices for accuracy, collaborate with suppliers to verify amounts, and request invoice payment in SAP, while overseeing the approval process and ensuring timely completion of all payments through coordination with relevant teams.

  • Develop and maintain consistent itinerary documentation for various partners and role-specific responsibilities, alongside job aids for destination operating guidelines.

  • Participate in Manager On-Duty responsibilities and answer operations questions from Florida Operations Team and Contact Center.

  • Ensure timely and accurate entry of traveler and trip information into CRM.

  • Serve as part of the Advance Staff to coordinate on-ground logistics for Private Jet arrivals, overseeing transportation, entertainment, porterage, meals, hotel accommodations, and excursions, addressing any special requests by Guests (e.g., meal reservations, in-room amenities, dietary needs).

  • Offer guidance to On-Trip Staff and deliver post-trip briefings including performance observations.

  • Perform other duties as required or assigned, including various projects and occasional travel.

Basic Qualifications:

  • 2+ years of experience in operations, logistics, or project management, preferably within the travel or hospitality industry.

  • Proficient in coordinating logistics and implementing plans effectively.

  • Proactive problem-solving skills, adept at anticipating, identifying, and resolving issues.

  • Self-motivated with a track record of efficiently managing multiple high-priority tasks in fast-paced environments.

  • Exceptional administrative and organizational skills with consistency in meeting project deadlines with reliability.

  • Strong communication skills, both written and verbal, skilled in building partnerships and collaborating with others, effectively with partners at all levels.

  • Detail-oriented with excellent multitasking capabilities and the ability to work autonomously on assigned projects.

  • Experience in an office setting with proficiency in office applications including Microsoft Outlook, Word, Excel, PowerPoint, with a willingness to learn new applications.

  • Flexibility for domestic and international travel as required.

Preferred Qualifications:

  • 3+ years experience in booking travel, travel operations & logistics, hospitality, event management, private jet experiences or related field.

  • Experience handling operational aspects of luxury travel or high-end experiences.

  • Proficient in SAP, Concur and CRM.

  • Proficiency in multiple languages with experience working in diverse environments such as international group travel operations.

  • Relevant industry certifications such as Certified Travel Associate (CTA), Certified Travel Counselor (CTC), or similar.

Required Education:

  • Bachelor’s Degree in Business Administration, Hospitality Management, Tourism, Communication or related field or equivalent work experience.
